Pre-Contract Administrator

Full-time Permanent Position: Monday to Friday 8am – 5pm. This position is office based at Mynott Bowers headquarters in Bedford.

This important role supports the Pre-contract Team throughout the life of a project, from initial client instruction through to ‘on-time’ delivery. To excel in this role, you should have experience of working in a fast-paced office environment, have a keen eye for detail, and a professional approach. This role would suit an experienced senior administrator that is able to work with minimal guidance once training is complete.

Main duties include but not limited to:
  • Be first point of contact for inbound telephone calls and visitors where necessary.
  • Support the Pre-Contract Co-Ordinator in the collation of Bills to meet deadlines.
  • Review all Bills of Quantities received from Quantity Surveyors, ensure they are completed and presented to the highest quality.
  • Liaise with clients concerning queries/responses prior to the issue of final Bills of Quantities ‘on time’, and all in accordance with clients’ brief.
  • Maintain daily contact with the Pre-Contract Co-Ordinator regarding client queries and additional information issued.
  • Office administration as required including printing and posting of technical drawings, archiving, and supporting the Managing Director and Group Business Development Manager with ad-hoc tasks as required.
  • Maintain CRM Database – create new contact cards and projects.
  • Ensure all Consultant QS PI documentation is up to date and held on file.
Required Experience/Skills:
  • Confident user of MS Word, Excel, Outlook (Editing and formatting documents in Excel is part of this role).
  • Experience of using a CRM database.
  • Excellent administration and organisational skills with the ability to prioritise tasks effectively.
  • Keen eye for detail is essential in this role.
  • Strong communication skills – written and spoken (Confident telephone manner).
  • Ability to work with minimal guidance, always be conscientious and professional.
Desirable ‘but not essential’ Experience/Skills:
  • Experience of working in the Construction Industry, or closely related Professional Services.
